Job Description

In this role, you will be responsible to provide general administrative services at the Division level. You will also showcase your expertise by providing backup support to the team in case of workload.

  • Optimizing processes and driving efficiency in managing account receivables overdue and procurement for indirect materials, ensuring timely local follow-up calls and preparing reports for reminders
  • Managing and reducing account receivables overdue by conducting local follow-up calls with customers & stakeholders.
  • Preparing detailed reports and reminders ensuring adherence to timelines and operational efficiency.
  • Overseeing the creation of Purchase Requisitions (PR) for indirect materials, coordinating with the country’s Supply Chain Management (SCM) team.
  • Managing logistics for project-related tasks, including visas and hotel arrangements for third-party engineers and ABB staff involved in project work coordinating with HR / Immigration team.
  • Supporting and coordinating the local implementation and promotion of product launches
  • Assisting the local management and the sales teams with communications materials (including presentations, social media posts and employee recognition)
  • Coordinating and preparing internal local communications in line with Regional & Division Communications strategy.
  • Planning, organizing and hosting local townhalls together with the local management team
  • Preparing documentation and assisting in researching, compiling, proofreading, and editing re-ports, presentations, organization charts, correspondence, and other relevant documents.
  • Responding to manager and/or employee queries and managing both incoming and outgoing correspondence for the business.
  • Locally responsible for all administrative activities (Travel, Expense Report & Hotel Bookings).
  • Maintaining records/databases/filing systems/archiving in electronic and/or hard copy format.

Qualifications & Experience:

  • Degree in any discipline
  • 5+ years of experience in events, sales operations & Administration
  • Excellent communication and presentation skills
  • Fluent in English Language, Arabic will be an added advantage,
  • UAE local experience will be an advantage.
